This role is a part time role, expectation of 20 hours per week

Description of Job

Position Description

Come work for this new collaborative team that is passionate about preventing school violence through interventions across Colorado. This position's purpose is to provide program support for the Office of Learning Supports and the Preventing School Violence Grant.

Duties include

• This role will help us support the preventing school violence training and coaching for districts and schools in Colorado

• providing necessary direction and continued communication with staff regarding compliance travel reimbursements; maintain accurate records and manage communication around grant awards

• managing invoice reimbursement processes

• support event coordination;

• Support logistics at in-person training events including overseeing registration, meeting set up, training material copying, and supply procurement, editing and formatting Prevent School Violence Grant tools and communication

• work as part of the Office of Learning Supports team in conjunction with the Prevent School Violence Grant in the development and implementation of technical activities associated with virtual and in-person meetings, updating and managing the website and Online Academy as it relates to content delivery for the Prevent School Violence Grant.

Major Duties and Responsibilities:

Support Prevent School Violence Grant Project Staff

• Provides professional administrative support to the Prevent School Violence program managers including general office administrative functions such as preparing reports, surveys, travel reimbursements, materials for meetings, scheduling appointments and meetings, making travel arrangements.

• Writes/records, maintains, and disseminates meetings notes and documentation in support of weekly Prevent School Violence Grant program meetings

• Organizes and prepares regular internal virtual meetings, including arranging and securing meeting spaces, and sending and tracking invites.

• Oversee logistics and event coordination of external in-person trainings and virtual meetings via Zoom or Teams. Maintains records systems and electronic communication.

• Other duties as assigned

Grant Program Assistance

• Supports Prevent School Violence Grant program implementation.

• Assist stakeholders in understanding grant rules and requirements.

• Maintains working knowledge of grant goals, activities, outcomes, budgets, and evaluation requirements to ensure the positions make accurate daily decisions concerning the grant budget and other position requirements.

• Responsible for tracking all expenditures associated with vendors and developing ongoing working relationships so they are clear on department policies regarding c

• Provide supports for Prevent School Violence Grant program and task management for Program Managers.

• Develops and maintains databases and spreadsheets.

• Maintain website and Online Academy content related to the Prevent School Violence Grant.

• Other duties as assigned.

Virtual/In-person Meeting Management

• Provide management of the planning and execution of events, such as professional development training, focus group meetings, and community of practice events for the Prevent School Violence Grant.

• Oversees and supports virtual and in-person meetings, both internal and external for the Prevent School Violence Grant.

• Oversee logistics for Prevent School Violence Grant events including attending those events to ensure smooth operations.

• Assist Prevent School Violence Grant team members with development of statements of work for services pertaining to events.

• Develop and use online surveys to manage registrations, scheduling of events, and materials as needed.

• Ensure accuracy of materials and that they are ready for events by planning well in advance.

• Manage all invoicing and payments.

• Other duties as assigned.

Office Support

• Process employee reimbursements in a timely manner, paying close attention to detail so that payment is not delayed due to oversight or lack of information.

• Assure costs are tracked and reviewed monthly with Prevent School ViolenceGrant Program Managers.

• Actively participate in new department software, receiving training when needed.

• Maintain database of districts, schools, and other programs participating with the Prevent School Violence Grant.

• Assist with managing and maintenance of online websites and technical resources for the Prevent School Violence Grant.

• Provide materials management to team by keeping current versions available, noting when changes are needed and speaking with appropriate team member regarding changes.

• Reviewing and editing documents and tools before posting to the website.

• Be available (by being dependable showing up to work every day) to team when unexpected needs arise regarding scheduling, material needs, venue acquisitions, statements of work.

• Other duties as assigned.

Accurate Payments, Budget Management

• Work with Prevent School Violence Grant Program Managers and Office of Learning Supports Program Assistant and Director to help manage unit's budget.

• Attend and participate in regular meetings to review and account for budget variances.

• Review of required documents with attention to detail is needed for accuracy and prevents payment delays.

• Other duties as assigned.

Work Environment:

This position is eligible for a hybrid (office/remote) work environment.

• Extended hours during the evening or the weekend.

• Sedentary/Office environment.

• Required to sit, view a computer screen, and utilize a keyboard and mouse for extended periods of time.

• Required lifting, bending, stooping, pushing, walking, etc.

• Occasional travel within Denver Metro/Downtown for Meetings and across Colorado to support Training.

• A Remote (Home) office is required.

• Required to report to the work location rarely.
